Terms & Conditions – The Bodhi Tree Spa
By using our services you are agreeing to the terms below which apply to any purchase. These Terms and Conditions apply to sales to the general public.
All visitors to The Bodhi Tree Spa shall be eighteen years of age or older.
The Company regrets that we do not have the facilities for children under the age of 18 to visit the spa. We are unable to allow children to wait on premises whilst their parent has an appointment, for health and safety reasons.
An email confirmation is sent out at the time of booking. In addition, you will also receive notification of your booking 4 days before the appointment date. For whatever reason, if the email message is not received, ‘we’ hold no responsibility.
Treatments requiring a patch test at least 24-48 hours before an appointment must be carried out by a member of staff. Patch tests acquired elsewhere are not valid and will result in your appointment being cancelled and will not be refunded.
We take no responsibility for damage to individual’s belongings whilst on the premises.
No responsibility can be accepted by the ‘Company’ for the safety of money or valuables of any kind brought to The Bodhi Tree Spa. If you do bring valuable items it is essential they are covered by your own insurance. The Company will not be liable, under any circumstances whatsoever, for damage, injury or consequential loss, however caused, to our customers, their property and belongings unless it is solely due to negligence of the Company, its employees or agents.
If your personal details change (including but not limited to name, address, contact details, medical conditions, etc) you must inform us. We take no responsibility for any errors or problems arising from a failure to advise us of any changes to your personal details.
All spa packages and offers are subject to availability. The Bodhi Tree Spa reserves the right to withdraw spa packages and offers at any time.
Courses – Spa Treatments
All treatments purchased as a course (5+ treatments) must be paid in full in advance of the first treatment.
All courses are valid for six months of the date of purchase, any treatments left untaken within the six months will be forfeited. To reschedule your treatment/s, we have a strict 24h notice policy.
Promotional codes are only applicable on full priced products and cannot be used in conjunction with any other offer.
All offers are subject to availability. The Bodhi Tree Spa reserves the right to withdraw offers at any time.
We reserve the right to alter, refuse or terminate a treatment without refund, in the event of:
- A client declaring a previously undisclosed medical condition that contraindicates their treatment/s.
- A client engaging in inappropriate behaviour or making inappropriate requests of a therapist
- A client abusing a member of staff physically, emotionally, verbally or in any other way
- A client being under the influence of alcohol, drugs, etc.
Provided on arrival: A towel, a robe and Spa slippers per person.
Shower gel, shampoo & conditioner. Hairdryers are all complimentary in the guest changing rooms.
If using the pool or sauna facilities, please change into dry clothing prior to your treatment.
Please check in at Reception at least five minutes before your treatment time.
Treatments may be subject to change. In the event we have to change your treatment for whatever reason, we will give as much notice as possible or will confirm upon your arrival. Due to the popularity and demand of our treatments, we recommend that any additional treatments are pre-booked to avoid disappointment.
All treatment times will start promptly and must be adhered to. Failure to arrive in time for your appointment will result in your treatment time being reduced. Should your treatment time start late as a result of one of our employees, then extra time or a reduction in price (at the discretion of The Bodhi Tree Spa Director) will be offered.
Please ensure that you inform your therapist if you are too hot/cold, if your position is not comfortable or the therapist’s pressure is not enjoyable. We will try to adjust techniques to suit you.
Jewellery boxes will be provided but we do not accept any responsibility for lost jewellery (refer to Valuables section above).
We advise you not to use the heat facilities or swimming pools for at least two hours after the application of nail polish. Please ensure you bring open-toed shoes or flip flops if you are booked for a pedicure treatment.
Attending Your Appointment
For new Spa guests, please arrive at least 10 minutes prior to any treatment times booked to allow time to complete your consultation. For all other Spa guests, please arrive 5 minutes prior to your appointment. Lateness for your appointment will result in your treatment time being shortened.
We reserve the right to ask clients to leave if they or those accompanying them behave in an inappropriate manner or disturb the treatments of others in the Spa. In the event that we ask a client to leave we will retain full payment for their treatment/s regardless of whether the treatment/s has been completed.
Bookings and Cancellations
Treatment Bookings – Online, Email, Phone and In-Person Bookings
If you are paying by voucher then we will take the voucher numbers to secure the booking. The voucher/s must be presented for redemption at the time of appointment to avoid cash payment.
Bookings can be made by phone, face to face, or email or online via the website, subject to the following terms and conditions.
A non-refundable deposit of 20% is required for bookings under £80. Bookings over £80 will require a 50% non-refundable deposit.
Cancellations must be made in writing by email or via phone.
Spa treatments and Hair Appointments
A minimum of 24hrs is required to cancel any . Failure to show will result in payment in full for your treatment. For Spa Days, please refer to the ‘Spa Day Bookings’ cancellation terms below.
We have a strict 48 hours cancellation policy. Group booking (3 or more guests) for the whole / any part of the group, require 5 working days notice if you need to cancel or reschedule your bookings to prevent your full payment being lost.
Please note that these terms and conditions apply for appointments made for yourself or on behalf of a third party. If making a booking for a third party it is your responsibility to ensure that person(s) can attend the appointment and is aware of our terms & conditions, and the cancellation policy.
Treatment courses ( 5 or more sessions), have a strict 24 hours policy to cancel or reschedule. Failure to cancel within the timescales will result in the treatment will be lost.
When paying with a gift voucher, our cancellation policy still applies and the voucher will be voided and no longer valid.
In the event that we need to cancel or reschedule an appointment we will endeavor to offer acceptable alternatives or refund any full payment paid.
Spa Day Bookings – Email, Phone and In-Person Bookings
Spa Days cannot currently be booked online. Spa Days need to be booked in person or via telephone.
Spa days require a 50% non-refundable deposit to secure the reservation.
Standard Cancellation Policy For Spa Packages
There is a minimum cancellation period of 48hrs for all Spa days.
For ‘no shows’ the 50% deposit will be retained.
If a gift card was intended to be used towards a Spa Day the purchase value will be forfeited.
No refunds will be given for early departure from the spa.
In the event you are late for your treatment, your therapist will complete as much of the treatment as possible in the time remaining and the entire treatment charge will apply.
